Customer Detailed Ledger

The Customer Age Analysis (CAA), also known as Debtors Age Analysis, is used by organisations to manage collections. The age analysis has columns that are divided into date ranges of current, 30, 60, 90, 120, and 180+ days. These date ranges are based on the calendar month and not necessarily the number of days in the month.

Credit limits are shown on the age analysis and there is a setting to allow Work in Progress to be shown.

A transaction appears on the age analysis once the Header Status is in an accounting status (the accounting checkbox is checked for that status).

Navigation: Main Menu > Accounting > Customer Age Analysis > Right-click an entry > Open Detailed Ledger

The detailed ledger displays a list of transactions for a specific Customer and includes a running balance.

Buttons Explained

ViewGenerates a list of entries as per the selected data filters.
Arrow on View ButtonArrow on View Button > Reset Data Filter
OutputPrints, previews or emails reports if Output Templates are created.
Lists the same options that are available under Customer Age Analysis.

Filters Explained

  • The filters for the detailed ledger are identical to those for the age analysis.

Fields Explained

FieldDescription
Field Chooser (*)Allows users to add or remove columns.
TransIDThe system-generated number for the transaction.
StatusThe Status of the transaction.
TransThe transaction type’s code (e.g. SI for Supplier Invoice).
No.The transaction number.
DateThe date of the transaction.
ReferenceThe reference entered on the transaction.
CurrencyThe Currency in which the transaction is.
DebitThe amount that was debited for the specific line item.
CreditThe amount that was credited for the specific line item.
BalanceThe running total (balance) on the account.
WidgetA submenu that can be accessed by right clicking the line:
Open Transaction: Opens the original transaction.

OpeningThe opening balance at the start of the selected period.
MovementThe movement for the selected period.
ClosingThe closing balance at the end of the selected period.
