Mobile App Timekeeping Tutorials

The Mobile App is a browser-based app that integrates to the desktop version of QuickEasy BOS. It has three main functions:

  1. Allowing business owners and mangers to view their key metrics from anywhere in the world.
  2. Allowing users to record their timekeeping, travel times, and distances from their mobile phones.
  3. Allowing reps to manage their customer records from anywhere.

These tutorials explain how to use the timekeeping and related functions on the mobile app.


How to Start an Unlinked Travel Timekeeping Record

  1. Login to the Mobile App.
  2. Click Timekeeping (button).
  3. Click Travel (button).
  4. Complete the timekeeping form as follows:
    1. Customer = Select a customer from the dropdown list.
    2. Reference = Select a reference from the dropdown list if there is one, else type a reference.
    3. Odometer Start = Type your odometer reading in this block.
    4. Note = Type the reason for your trip.
  5. Click Start (button).
  6. Close the Mobile App (optional).

How to Start a Travel Timekeeping Record Linked to a Project Task

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click Project Tasks.
  4. Click the task you want to start working on.
  5. Click Start Travel from the context menu.
    • Note: If the option is unavailable, you probably have an open timekeeping record. Please stop that one first.
  6. Complete the timekeeping form as follows:
    1. Odometer Start = Type your odometer reading in this block.
    2. Note = Type any note (optional).
  7. Click Start (button).
  8. Close the Mobile App (optional).

How to Start a Travel Timekeeping Record Linked to a Transaction

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click Transactions.
  4. Click the transaction you want to start working on.
  5. Click Start Travel from the context menu.
    • Note: If the option is unavailable, you probably have an open timekeeping record. Please stop that one first. 
  6. Complete the timekeeping form as follows:
    1. Odometer Start = Type your odometer reading in this block.
    2. Note = Type any note (optional).
  7. Click Start (button).
  8. Close the Mobile App (optional).

How to Start a Travel Timekeeping Record Linked to Production

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click Production Tasks.
  4. Click the task you want to start working on.
  5. Click Start Travel from the context menu.
    • Note: If the option is unavailable, you probably have an open timekeeping record. Please stop that one first. 
  6. Complete the timekeeping form as follows:
    1. Odometer Start = Type your odometer reading in this block.
    2. Note = Type any note (optional).
  7. Click Start (button).
  8. Close the Mobile App (optional).

How to Start an Unlinked Work Timekeeping Record

  1. Login to the Mobile App.
  2. Click Timekeeping (button).
  3. Click Work (button).
  4. Complete the timekeeping form as follows:
    1. Customer = Select a customer from the dropdown list.
    2. Reference = Select a reference from the dropdown list if there is one, else type a reference.
    3. Note = Type information about the work you are doing.
    4. Sign Here = Ask your customer or supervisor to sign in the block provided.
      • Note: Click Clear (button) if they make a mistake and want to try again.
  5. Click Start (button).
  6. Close the Mobile App (optional).

How to Start a Work Timekeeping Record Linked to a Project Task

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click Project Tasks.
  4. Click the task you want to start working on.
  5. Click Start Work from the context menu.
    • Note:  If the option is unavailable, you probably have an open timekeeping record. Please stop that one first.  
  6. Complete the timekeeping form as follows:
    1. Note = Type any note (optional).
    2. Sign Here = Ask your supervisor or customer to sign in the block provided.
  7. Click Start (button).
  8. Close the Mobile App (optional).

How to Start a Work Timekeeping Record Linked to a Transaction

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click Transactions.
  4. Click the transaction you want to start working on.
  5. Click Start Work from the context menu.
    • Note: If the option is unavailable, you probably have an open timekeeping record. Please stop that one first.  
  6. Complete the timekeeping form as follows:
    1. Note = Type any note (optional).
    2. Sign Here = Ask your supervisor or customer to sign in the block provided.
  7. Click Start (button).
  8. Close the Mobile App (optional).

How to Start a Work Timekeeping Record Linked to Production

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click Production Tasks.
  4. Click the task you want to start working on.
  5. Click Start Work from the context menu.
    • Note:  If the option is unavailable, you probably have an open timekeeping record. Please stop that one first.  
  6. Complete the timekeeping form as follows:
    1. Note = Type any note (optional).
    2. Sign Here = Ask your supervisor or customer to sign in the block provided.
  7. Click Start (button).
  8. Close the Mobile App (optional).

How to Stop a Travel Timekeeping Record

The Stop function works the same regardless of which type of timekeeping record was started.

  1. Login to the Mobile App.
  2. Click Timekeeping (button).
  3. Click Stop (button).
  4. Odometer Stop = Type your closing odometer reading in this block.
  5. Note = Type any note (e.g. about traffic conditions).
  6. Click Stop (button).

How to Stop a Work Timekeeping Record

The Stop function works the same regardless of which type of timekeeping record was started.

  1. Login to the Mobile App.
  2. Click Timekeeping (button).
  3. Click Stop (button).
  4. Note = Type any note.
  5. Sign Here = Ask your supervisor or customer to sign in the block provided.
  6. Click Stop (button).

How to View Information about a Transaction or Task

  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click one of these options (whichever is applicable):
    •  Project Tasks
    • Transactions
    • Production Tasks
  4. Click the entry you want to start working on.
  5. Click View Detail on the context menu.
  6. When you finish reading the information click Back (button) to return to the list.

How to Mark a Transaction or Task Complete

  • This feature marks the linked transaction or task complete (not the timekeeping record).
  • You cannot undo this in the mobile app. However, you can change the status of the task or transaction back in the desktop app if you have the required User Access.
  1. Login to the Mobile App.
  2. Click Menu (button). 
  3. Click one of these options (whichever is applicable):
    •  Project Tasks
    • Transactions
    • Production Tasks
  4. Click the applicable entry.
  5. Click Complete on the context menu.
  6. Confirm that you want to set the entry to Complete.
  7. A notice will appear that the entry was marked complete and it will be removed from your list.

How to Navigate to a Customer

  • For this feature to work:
    • The customer must have a street address.
    • This address must be selected as the default physical address.
    • The address must include valid GPS co-ordinates.
    • We recommend you test the co-ordinates first by typing them into a map’s search field and checking if the right location is pinpointed (map apps are inconsistent).
    • Warning: If you access this feature more than once in a short space of time, and use Google Maps, you may have to prove to Google that you are not a robot before Google Maps is opened.
  • This feature does not automatically start a timekeeping record. You must first start a timekeeping record before you select this option.
  1. Login to the Mobile app from a mobile device that has a map app installed. 
  2. Click Menu (button). 
  3. Click one of these options (whichever is applicable):
    • Project Tasks
    • Transactions
    • Production Tasks
  4. Click the entry you want to start working on.
  5. Click Navigateon the context menu.
  6. Your default map is opened with directions from your current location to the customer’s location.

How to Add a Note

  1. Login to the Mobile app.
  2. Click Menu (button). 
  3. Click one of these options whichever is applicable:
    1. Project Tasks
    2. Transactions
    3. Production Tasks
  4. Click the applicable entry.
  5. Click Add Note on the context menu and complete the details as follows:
    1. Reference = Type a reference for the note.
    2. Note = Type the note in the block provided.
  6. Click Save (button).
    1. Note: You can click Cancel (button) to discard the note. Warning: The note is discarded without a confirmation request.

How to Add an Image

  1. Login to the Mobile app.
  2. Click Menu (button). 
  3. Click one of these options (whichever is applicable):
    • Project Tasks
    • Transactions
    • Production Tasks
  4. Click the applicable entry.
  5. Click Upload Image on the context menu.
  6. Click Take a Photo (button).
    • Note: If permission was not previously granted, the app will request permission to access your camera.
  7. Click the applicable button at the bottom of the image (or black screen):
    1. Picture Icons: Allows you to upload an image:
      1. Navigate to the image you want to upload using the file browser that was opened.
      2. Click the file and click Open (button).
      3. Type a description for the image in the Image Description block.
      4. Click Save (button).
    2. Round Circle: Captures whatever you are pointing the camera at.
      1. Click the grey X to discard the photo and take another photo.
      2. Click the green Checkmark to accept the photo.
        1. Type a description for the image in the Image Description block.
        2. Click Save (button).
    3. Circular arrows: Allows you to choose a different camera (e.g. the front or back camera).

How to View Timekeeping Records in QuickEasy BOS Desktop App

Depending on your access you might only be able to view your own records in which case only the Date and Status filters apply.

  1. Login to BOS Desktop.
  2. Click Timekeeping on the tile or main menu or (e.g. Main Menu > Operations > Timekeeping).
  3. Set the filters as needed:
    1. Date = Select a date option.
    2. Resource = Select the user (resource) from the dropdown list (e.g. your name).
    3. User = Select a user from the dropdown list (e.g. your name).
    4. Statuses = Check the statuses you want to include. If all the checkboxes are unchecked, all the statuses are included.
  4. Click View (button).
