Attachments Module

The Attachments module allows users to manage all their attachments from a single interface. This is especially helpful for managing attachments that have expiry dates (e.g. Staff Visas, Work Permits, Customer Credit Applications). 

This module can be added to any of the menus.


Buttons Explained

ButtonDescription
ViewGenerates a list of entries as per the selected data filters.
Arrow on View Button Reset Data Filter > Resets all the data filters.
ActionsAllows for changes to be made to multiple records that can be selected using Ctrl + Left Click. The options are:
Batch Update: Changes the following fields on the selected records when the Update (button) is clicked:
Status: Changes the status to the one selected on the dropdown list.
Issued: Changes the issued date to the date selected on the calendar.
Reminder: Changes the reminder date to the date selected on the calendar. 
Expired: Changes the expiry date to the date selected on the calendar.

Filters Explained

FilterDescription
DateA dropdown list with date options (e.g. No Date, Today, This Year).
Navigational ArrowsAdjusts the Date in the direction of the arrow.
Date … to …Allows users to set their own dates (based on the selection under Set).
Updated Radio ButtonIf selected, the Date reflects records updated during the selected period.
Expires (Radio button)If checked attachments that expire during the selected period are shown.
Issued (Radio button)If checked attachments that were issued during the selected period are shown.
Reminder (Radio button)If checked attachments that have reminders for the selected period are shown.
ModuleA dropdown list of Modules for users to select one (or all).
DescriptionIf lookup lists are created for the Description, they are available for users to select one (or all).
Status CheckboxesCheckboxes for users to select specific Status options. The options are:
– Pending
– Active
– Expired

Fields Explained

FieldDescription
IDThe system-generated number for the entry.
StatusThe Status of the attachment.
Trans IDThe system-generated number for the transaction (if applicable).
TypeThe detailed Type of attachment that was uploaded.
Content TypeA description of the uploaded file.
ModuleThe Module from which the attachment was uploaded.
ID (Link ID)A system-generated link number.
NameThe Name of the attachment.
DescriptionDescription of the attachment which includes the name of the attachment, user, date and time.
IssuedThe Issued Date that was set for the attachment.
ReminderThe Reminder Date that was set for the attachment.
ExpiredThe attachment’s Expiry Date.
File TypeThe general type of file that was uploaded.
File SizeThe attachment’s file size. 
DetailThe attachment’s details.
CreatedThe date on which the entry was created.
UpdatedThe date on which the entry was updated.
Updated ByThe User who last updated the entry.
WidgetA submenu, which can also be accessed by right clicking the entry, with the following function:

Edit Description Lookup Lists

  1. Opens an interface for users to type pre-defined descriptions, one entry per line.
  2. Entries are saved if Save (button) is clicked or the popup is closed.
