Estimate Features and Calculations
- To use estimates in transactions, users must add the Transaction Type setting: Estimating > Enable Estimating and select the specific Transaction Type (e.g. Quotations) from the dropdown list in the Value column.
- Estimates are created as line items in transactions and are added by clicking the Estimate button which is placed directly above the line items to the right.
- The Estimate button provides a dropdown list of Estimate Types for users to select one.
- The estimate is divided into tabs. Items are added to the Input tab from the categories specified on the Estimate Type.
- Items can be used for estimating if:
- The items are allocated to the specific Categories as specified by the Estimate Type.
- Estimating Attributes have been added to the applicable items and the attribute fields have been completed.
Key Estimate Features
Prices
- Estimates are always in the Local Currency.
- The cost prices used for services are based on the hourly rate of the Cost Centre selected on the item’s Estimating Attributes.
- If no cost centre is selected, the prices used are the Fixed, Unit, and Minimum Costs filled in on the item’s Estimating Attributes.
Markups and Adjustments
- An overall Markup is applied to the Total Cost of the Estimate. This markup can be edited on the Prices tab.
- An additional Markup on the Cost Price is permitted by entering a percentage in the Adjustment % field on the Prices tab.
- The Adjustment field can also be used to give the customer a discount (negative adjustment). This discount is not reflected in the overall markup.
Quantities
- Multiple Quantities can be added.
- One quantity is set as the active quantity, and the other quantities are shown for comparison.
- The estimate price is for the active quantity.
Descriptions
- An estimate can have a detailed description that is auto created from the items added to Groups and Costings.
- This description can be edited.
- The full description appears on output forms (e.g. quote letters) to clarify which items and services are included in the quote.
Updates
- Item setups are copied to an estimate and not updated when the linked item is updated unless a specific command is executed (Actions (button) > Update from Setups).
Deleting
- If a Part on an estimate is deleted, the linked items are also deleted.
Copying transactions
- If a transaction with an Estimate is copied to a transaction without an estimate, the estimate tables and quantities are not copied.
- An Estimate copied to a Work Order is fully editable and includes comparisons between the amount estimated on the Quotation (Estimate QT), production estimate on the Work Order (Production Estimate (WO)), and the Actual Costs.
- When a transaction is copied to another transaction that uses resolve (e.g. Quotation to Sales Order), and an item is linked to an estimate, that item’s Resolve is set to Produce.
Calculation Steps
- An Estimate calculates a standard price for each quantity.
- It adds the Item Adjustments and VAT to the estimated price to determine the quoted price.
- Update the Imposition to determine the final layout.
- Iterate the Quantities: first inactive, then active as follows:
- Update the Quantities by Type.
- Add all the BoM Item quantities.
- Add all the Routing Item quantities.
- Add the BoM quantities to the Routing quantities.
- Transfer the total to the Pricing tab and Summary section.
- Generate the Description.
- Update the entry on the transaction.
Update the Imposition
- Iterate Parts
- Iterate Services by Orderid
- Set Small Size from Part
- If TypeID = 2, Calculate Imposition, Set Large size.
- If TypeID = 1, Calculate Imposition, Set Large Size.
- On first Item: Save Large Size for BoM Imposition > Small Size.
- Iterate BoM
- Set Small Size from Var.
- Calculate Imposition by Type.
- Iterate Services by Orderid
Update the Quantities
- A separate procedure is used to calculate quantities by Qty Type. See Quantity Types.
Total the BoM Items
- Adjust the Unit Qty by the Waste %.
- Calculate the Total Qty: Fixed Qty + (Unit Qty x Qty).
- Adjust the Total Qty if less than the minimum quantity (Min Qty).
- Update Subtotal Cost: Total Fixed + (Qty x Total Unit).
- Calculate Adjust Amt from Adj %.
- Update Total Fixed: (Fixed Qty + Min Qty Adjustment) x Unit Cost.
- Update Total Unit: Total Cost – Total Fixed / Job Qty.
- Update Total Cost: Subtotal Cost + Adjustment.
Total the Routing Items
- Calculate the Total Hrs.
- Calculate Total Fixed.
- Calculate Total Unit: (Fixed Qty + Min Qty Adjustment) x Unit Cost.
- Calculate Subtotal Cost.
- Calculate Adjust Amt from Adj %.
- Update Total Cost: Subtotal Cost + Adjustment.
- Adjust the Total Cost and Fixed Cost if the Total Cost < Min Cost.
Total the Quantities and Prices
- Positive Item Adjustments override the Overall Adjustment.
- BoM Sum Total Cost where Adj% <= 0.
- Calc Adjustment amount.
