Calendar Type Tutorials

These tutorials explain how to create and edit calendar types.

How to Display a List of Calendar Types 

  1. Navigate to Calendar Types.
  2. Click View (button).

How to Create a Calendar Type 

  1. Navigate to Calendar Types.
  2. Click New (button).
  3. Click Edit (button) if it is not greyed out.
  4. On the popup fill in the details as follows:
    1. Description = Type a name for the calendar type.
    2. Code = Type a brief description for the calendar type.
    3. Note = Type an explanation about the calendar type (optional).
  5. Click Settings (button) next to Add.
    1. On the list of settings, select those you want to change from the defaults displayed on screen.  (Use Ctrl + Left Click to multi-select).
    2. Click Add/Update (button).
    3.  Close the Add Settings popup.
  6. Click the Value column and change the added settings as follows:
    1. Resources > Resource Type: Select Assets or Contacts from the dropdown list. This setting determines which groups are available. Resource in this contact refers to the person or machine performing the task.
    2. Resources > Resource Group: Select the group that the calendar relates to.
      • Note: You can only select one group. It contacts from multiple groups must be added, create a new group (e.g. Calendar) and add it to all the applicable contacts. Then select that group here.
    3. View > Interval: Select the period that the calendar must display. The options are:
      • 15 Minute (View Days)
      • 30 Minute (View Days)
      • 60 Minute (View Days)
      • Day (View Weeks)
      • Day (View Months)
      • Month (View Years)
    4. View > Show Days: Check all the days that the calendar must cover and uncheck the rest The selection should correspond to the days of the week on which you perform the task for which the calendar is going to be used.
    5. View > Show Hours (End): This setting is only applicable if you chose one of the minute options under View > Interval. Use the time chooser and select the close of your business day (e.g. 17:00). The calendar intervals are adjusted to end at approximately this time (e.g. if you choose hourly, then the last hour will be set for 4pm to be complete by close of business at 5pm).
    6. View > Show Hours (Start): This setting is only applicable if you chose one of the minute options under View > Interval. Use the time chooser and select the start of your business day (e.g. 08:00). Intervals are calculated starting with this time.
  7. Click Save (button).

How to Edit a Calendar Type 

  1. Display a list of Calendar Types.
  2. Double-click any calendar type.
  3. Click Edit (button) if it is not greyed out.
  4. Change any of the fields (see How to Create a Calendar Type for explanations of the fields).
    • Note: If you click Settings (button) next to Add, only the settings that have not been added are displayed unless you click Show All.
  5. Click Save (button).

How to Set User Access for a Calendar Type 

  1. Display a list of Calendar Types.
  2. Right-click a calendar type and select User Access from the context menu.
    • Note: You can also set user access from editing a calendar: Menu (button) > User Access.
  3. Click Edit (button) if it is not greyed out.
  4. Click Actions (button) > Add/Remove Users.
  5. Move the users you want to add from the Available to the Selected section.
    • Note: Move the users you want to remove from the Selected to the Available section.
  6. Click Save (button).
  7. Edit the access as follows:
    • View = Checked if the user can view the calendar.
    • Setup = Checked if the user is allowed to change the associated calendar type.
    • Edit = Checked if the user can edit the calendar (view rights are required).
  8. Click Save (button) if it is not greyed out.
  9. Click the X in the corner to close the access-rights popup.

How to Edit Multiple Users’ Access Rights 

  1. Display a list of Calendar Types.
  2. Right-click a calendar type and select User Access from the context menu.
    • Note: You can also set user access from editing a calendar: Menu (button) > User Access.
  3. Click Edit (button) if it is not greyed out.
  4. Select all the users’ records you want to edit.  (Use Ctrl + Left Click to multi-select). 
  5. Click Actions (button) > Batch Update.
  6. Select View, Setup, or Edit from the dropdown list on the left and check the checkbox to grant access, uncheck it to revoke access.
  7. Click Update (button).
  8. Confirm the change.
  9. Repeat Steps 6 to 8 for the additional rights.
  10. Click Save (button) if it is not greyed out.
  11. Click the X in the corner to close the access-rights popup.

How to Copy User Access from Another Module 

  1. Display a list of Calendar Types.
  2. Right-click a calendar type and select User Access from the context menu.
    • Note: You can also set user access from editing a calendar: Menu (button) > User Access.
  3. Click Edit (button) if it is not greyed out.
  4. Click Actions (button) > Copy users from another Module.
  5. Select the module from the dropdown list on the left.
  6. Click Copy (button).
  7. The users are copied and their access rights, where matching, are set.
  8. Edit any of the access rights (optional).
  9. Click Save (button) if it is not greyed out.
  10. Click the X in the corner to close the access-rights popup.

How to Delete a Calendar Type 

  1. Display a list of Calendar Types.
  2. Right-click a calendar type and select Delete from the context menu.
    • Note: A calendar can also be deleted from Edit View by clicking Actions (button) > Delete.
  3. Confirm that you want to delete the calendar type.
