Transform Your Quoting Process with QuickEasy BOS: Faster, Smarter, More Professional
QuickEasy BOS (Business Operating System) gives you a comprehensive toolset that streamlines how you create quotations and helps you deliver accurate, appealing proposals to your customers. Whether your quotation needs a simple structure or a complex pricing model, QuickEasy BOS equips you to produce it efficiently.
One way in which QuickEasy BOS helps you generate accurate quotations is by using proposals.
Proposal Templates
Proposal templates define all the available options for a customisable product and clearly indicate which items are mandatory or optional as well as the required quantities.
Creating proposal templates is simple:
Define Your Items: Start by creating all mandatory and optional items for your proposal. These may include different service tiers, additional features, or customised selections. Include even the standard items that don’t cost extra by setting their prices to zero, so you don’t overlook any steps.
Build and Customise Your Template: Add group names and descriptions. Decide which items are mandatory and which are optional. This structure enables you to assemble a tailored proposal quickly for any customer scenario.
Adding Proposals to Quotations
Once you prepare your template, you can incorporate it into a quotation:
- Create a quotation.
- Choose the appropriate proposal template from the dropdown list.
- Open the proposal interface (Actions > View/Edit Proposal), select optional items, and adjust quantities to match your customer’s needs.
After you finish Step 3, QuickEasy BOS automatically populates the quotation with the selected items which ensures you follow all pricing guidelines.
Add Notes or Images
When you set up Items, you can add notes and images with predefined names. These predefined names make it easy for you to include the correct notes or images in your customer quotations.
Using the powerful BOS Document Designer, you specify which notes and attachments to include and where they should appear. For example, if items contain images named DETAIL, you can link it and the system automatically selects the applicable image and adds it to the quotation.
You maintain full control over clutter: you can move notes and images to later pages and specify image sizes. The Document Designer already includes all these capabilities.
Approval Process
By using statuses and defaults, you control the quotation approval process. For example, junior staff cannot send quotations without approval, and once you send a quotation to a customer, the system prevents further editing.
Administrative users, such as senior managers or business owners, can still revert statuses and edit documents when necessary.
Cost Sheets
QuickEasy BOS automatically generates cost sheets for each quotation. These sheets show the mark-up percentage and gross margin for all items, based on the item setup. With this information at hand, you can instantly decide whether your price is final or if you can adjust it for a price‑sensitive customer.
Conclusion
QuickEasy BOS helps you create customised, detailed, and professional quotations that offer your customers clear information for confident decision‑making.
